Joining an Achilles Community

Overview

Joining an Achilles Community or buyer-specific registration programme

As a supplier you can apply to join an Achilles Community or register to participate in a programme for one specific buyer enabled by Achilles (often following an invitation from one of your existing customers.) The start of the process is to register online and complete a pre-qualification questionnaire to provide your details - including the products and services you supply.

For some programmes and some suppliers, a second pre-qualification questionnaire or audit may be part of the qualification process. Achilles checks the information for accuracy before making it available to a specific buyer - or all buyers within an online Community, depending upon the programme you are joining. Join an Achilles Community

Joining an Achilles Community

Suppliers joining an Achilles Community will be validated through our pre-qualification process and be visible to buyers from participating member organisations.  Typically, Achilles Communities have 50-100 buyer organisations, each with between 10-100 users.

The process is similar to that for joining a supplier registration programme for a specific buyer but has some important distinctions:

  • Registration takes place via the Achilles Community web site.
  • The pre-qualification questionnaire represents the requirements of all buyers in the Community.
  • Once you have completed the qualification and assessment process you will be visible to all buyers within the community.

1. Supplier Registration
  • Supplier registration is the start of the qualification process to supply buyers within the community. As a supplier you can choose to join a community independently or you may be invited by a major customer you wish to supply. You will be guided (via website messages, email, phone or letter) to register via an Achilles Community website.

2. Manage Risk                                    

  • All suppliers joining the community will be required to complete a full pre-qualification questionnaire.
  • The data collected and validated is used to determine if any subsequent stages may be required in the assessment process.
  • You can maintain your data via the Achilles Community web site and it will be annually quality checked by Achilles.

3. Assess Risk Profile

  • A profile level is assessed in order to manage the potential risk profile associated with the products and services you supply.
  • Risk may be defined per product/service category and reflects the degree of criticality to buyers within the Achilles community. Risk is typically based on parameters such as spend, Health & Safety, Environment, Quality, CSR, climate change etc.
  • This assigned risk profile level determines whether additional steps may be required in your qualification process.
  • As a supplier with the highest degree of importance and criticality to buyers (high risk profile) you may be required to undergo an additional on-site audit or assessment.

4. Supplier visibility

  • Once validated, your details are uploaded into the Achilles Community and are available to all registered buyers.
  • Subscribing suppliers can be found by buyers who use a range of search tools to identify, and review them, with the knowledge that the information has been checked and verified by Achilles.
  • You can maintain your information online and it will be annually quality checked by Achilles.
  • A range of additional modules can be added to supplier programmes to further enhance your Community solution.

Register for a specific buyer

Joining a buyer-specific supplier registration programme

You may be contacted by Achilles (on behalf of one of your customers) to participate in a buyer-specific programme which will follow the process stages shown below. This is similar to the standard process for joining an Achilles Community but has some important distinctions:

  • The initial process for registration takes place at the buyer organisation's website (rather than the Achilles Community site).
  • The initial registration questionnaire reflects the specific requirements of the buyer organisation commissioning the registration programme.
  • Only those suppliers required (or choosing) to complete the full community pre-qualification questionnaire will be visible to all buyers within the associated community.

1. Supplier Registration

  • Suppliers are guided (via website messages, email, phone or letter) to register via the buying organisation's website. Supplier registration is the start of the qualification process to supply the buying organisation.
  • The registration form is typically an integral part of an online "portal", where you can find out how to become a qualified supplier to the buying company, or update your details if already qualified.
  • All supplier data is validated and annually quality checked by Achilles.
  • The data collected is used to determine the next steps in the qualification process based on an assessment of the potential risk and importance to the buyer of the products/services (and other factors) that you provide.

2. Assess Risk Profile

  • A risk profile level is assessed at registration in order to manage the potential risk associated with the products and services you supply.
  • Risk may be defined per product/service category and reflects your degree of criticality to the specific buyer organisation. It is an integral part of the basic registration form. Category risk is typically based on parameters such as spend, Health & Safety, Environment, Quality, and Sustainability / CSR, climate change.
  • This assigned risk profile level determines the next steps in the supplier qualification process.

3. Manage Risk

  • Suppliers with a low level risk profile are typically only required to submit the basic information captured at initial registration – but many choose to complete a full pre-qualification questionnaire to allow their details (and products / services) to be visible to all buyers within the Community.
  • A supplier assessed as having products/services (and other factors) with a higher degree of importance and criticality to buyers (medium/high risk profile) will be required to complete a full pre-qualification questionnaire (PQQ) and those with the highest risk profiles may also be required to undergo an on-site audit or assessment.

4. Supplier Visibility

  • Once validated, your details are uploaded into the Achilles Community and are available to all registered buyers.*
  • *If you are a Low risk profile supplier, who only completes the basic buyer specific registration (but don't complete the full pre-qualification questionnaire) you will only be visible to the single buying organisation commissioning the registration programme. You will not be visible to other buyers within the Community unless you choose to complete the full pre-qualification questionnaire.
  • You can maintain your information online which will be annually quality checked by Achilles.
  • A range of additional modules can be added to supplier programmes to further enhance your Community solution.
